In short

  • We keep only the data your rent ledger needs in order to work.
  • We don't ask for national ID (TC kimlik) numbers, neither yours nor your tenant's. We don't accept photos of ID cards.
  • We don't sell your data, show ads or track you across apps.
  • Your data is stored on Google Firebase, in the European region.
  • You can delete your account from within the app at any time.

Akar is a rent management app for landlords and tenants. This policy explains what data is collected when you use Akar, why it is collected and how it is protected. Your personal data is processed under Law No. 6698 on the Protection of Personal Data (KVKK, Turkey's data protection law) and, to the extent it applies, the European Union General Data Protection Regulation (GDPR).

Data we collect

  • Account information: Your name and email address when you sign in with Apple or Google.
  • Rental records: The properties you add, lease details (parties, amount, dates), payment records, expenses and receipts.
  • Documents: The leases, bank transfer slips, insurance policies and photos you upload. Location (EXIF/GPS) data in photos is removed on your device before upload.
  • Location: Used only once, when you ask for it while adding a property address, to suggest the address. Your location is not tracked continuously and is not stored.
  • Notification information: Your device's notification token and your notification preferences, so that we can send you notifications. Transactional and promotional notifications can be turned off separately; promotional notifications are off by default.
  • Usage and error logs: Usage events (for example, which screen was opened) and crash logs, to improve the app.

If you use Akar as a tenant, the information your landlord enters about you (name, rent amount, payment records) and the transfer slips you upload are also processed.

What we use data for

  • To keep your rent ledger, record payments under the right month, and produce receipts and summaries.
  • To send reminders and notifications to you and your tenant.
  • To share the relevant records with the people you invite (tenant, spouse, partner).
  • To verify the status of your subscription.
  • To find errors and keep the app secure and working.

We do not use your data for advertising, profiling or sale.

Reading documents with AI

To read the amount and date on transfer slips and to extract rental details from a lease, the document in question is sent to the Vertex AI (Gemini) service on Google Cloud. This service does not use the content to train its models. The information read is offered to you as a suggestion; you can check and correct it before it is recorded.

Sharing

Your data is made available to others only through sharing that you initiate: for example, when you invite your tenant, your spouse or your partner, or when you send your tax return summary to your accountant. Apart from this, it is not shared with third parties other than the service providers below and where required by law.

Payments are made through the App Store or Google Play; your card details never reach us.

Retention and deletion

We keep your data for as long as your account is open. When you delete your account, your account information, sign-in records, notification preferences and document inbox are deleted immediately. Leases, payment records and related documents serve as evidence of the legal relationship between landlord and tenant, so they are kept for the retention period set by the applicable legislation and deleted automatically when that period ends. Details are on the account deletion page.

Security

Data is encrypted in transit and at rest. Each record can be accessed only by authorised people (the landlord and the people they invite). No system is flawless; if a security breach occurs, we will inform you and, where required, the Personal Data Protection Authority (KVKK) within the legal time limit.

Your rights

Under Article 11 of the KVKK and under the GDPR, you have the right to learn whether your data is being processed, to access your data, to request its correction or deletion, to object to processing and to receive a copy of your data. You can send your requests to contact@alkan.dev; we will respond within 30 days at the latest. You can delete your account from within the app (Settings → Delete account).

Changes

We may update this policy. We will announce significant changes within the app and update the effective date on this page.
